The HR Administrator provides an effective HR administration service for internal clients and recruitment.

Salary: €32,000

Location: Pieta Head Office, Tallaght, Dublin - with remote working days facilitated

Hours: Monday - Friday 9am-5pm - Full-time

Contract: 6-month fixed term contract

Role & Responsibilities:

As HR Administrator, you will be supporting the recruitment process for employees around Garda Vetting and background checking as well as the administration of the on-boarding process from new contracts of employment to the establishment of new employee records. The role also provides relevant HR support, information and advice to employees as required in line with company policy and legislation.

Recruitment and On-boarding Administration

  • Processing security clearances e.g. Garda Vetting
  • Verifying new starter documentation including identification and certification where applicable
  • Create and maintain new employee records on the HR Information System
  • Co-ordinating and confirming start dates and introductory training dates
  • Carry out reference checking for offered candidates
  • Forward new starter documentation for authorisation by the HR Director and Finance and Operations Director
  • Prepare and issue contracts of employment for new starters

 

Reporting

  • Preparation of weekly KPI information for the management team on all aspects of HR performance
  • Preparation of weekly recruitment report to include updates on status of roles as well as reporting on standard recruitment metrics
  • Preparing data for monthly sub-committee and Board reports for the HR and other sub-committees as needed
  • Ad-hoc system reports in support of organisational activities

 

HR Administration

  • Updating contracts and contract changes for all employees
  • Maintaining employee records and database on the HR information system, updating starter and leaver information as well as employee changes
  • Updating annual leave for part time employees as needed
  • Administering other HR processes as needed to include grievance and disciplinary documentation, engagement surveys and individual staff communications
  • Arranging Garda Vetting renewals for employees at suitable intervals
  • Working as part of the HR team to prioritise and plan HR activities and project work
  • Preparing and issuing the monthly staff newsletter and weekly staff communications
  • Being a point of contact for employee HR queries, escalating where necessary
  • Maintaining training records and certificates to the HR Information System
  • Provide information to IT service providers for the maintenance and updating of the HR information system as required

 

Skills & Experience required:

  • Essential - CIPD accredited qualification completed or partly completed
  • Minimum 2 years of experience in HR administration of the full employment cycle including contracts of employment, system administration and HR reporting
  • Excellent IT skills to include working knowledge of HRIS and Microsoft Office suite, advanced knowledge of Microsoft Excel is essential
  • Ideally educated to degree level in a relevant discipline
  • Strong literacy and numeracy aptitude
  • Excellent communication skills both verbal and written with strong attention to detail
  • Experience of working with Salesforce is a distinct advantage
  • Good time management skills
  • Ability to work with change and a growing organisation
