Business Manager

Reporting to: CEO | Location: Dublin/Hybrid | Full-time – Fixed Term contract

 

Are you highly organised and motivated by helping leaders and teams work more effectively? Do you enjoy bringing people, information and priorities together to create better ways of working?

At Dogs Trust Ireland, you'll play a central role in supporting our Chief Executive Officer and Senior Leadership Team, helping them stay focused on strategic priorities while ensuring key decisions, actions and information are effectively coordinated. As Business Manager, you'll provide high-quality executive and business management support while helping strengthen governance, planning and organisational effectiveness.

Working at the centre of the organisation, you'll act as an important link between leadership, the Board and teams across Dogs Trust Ireland. You'll bring strong organisation, judgement and communication skills to a varied role spanning executive support, meeting and event coordination, reporting, governance administration and continuous improvement.

 

What you'll be doing:

  •  Providing high-quality business management support to the Chief Executive Officer, including diary management, meeting preparation, correspondence and follow-up actions
  •  Coordinating business support for the Senior Leadership Team, including agendas, papers, action tracking, reporting and governance administration
  •  Preparing and collating reports, presentations, dashboards and papers, bringing together information from across the organisation into clear and accessible formats
  • Planning, coordinating and facilitating internal and external meetings, workshops and events
  • Coordinating venues, facilities, catering, travel, room layouts, technology and note-taking arrangements to ensure meetings and events run smoothly
  • Acting as the central coordinator for executive visits, partner meetings and stakeholder events, ensuring a professional and seamless experience
  • Supporting effective information flow across the organisation, helping prioritise actions and ensuring decisions are followed through
  • Developing and continuously improving administrative systems, templates and ways of working to increase organisational effectiveness and consistency
  • Acting as a key conduit of information to and from the Dogs Trust Ireland Board and Executive
  • Supporting effective communication between the Dogs Trust Ireland Executive and the wider Dogs Trust Group Executive
  • Helping strengthen organisational planning, reporting and business management capability as Dogs Trust Ireland continues to develop
  • Supporting the organisation's adoption of digital tools, technology and more efficient ways of working as capability develops

 

We're looking for someone who has:

  • Previous experience supporting a senior leader or leadership team in a Business Manager, Executive Assistant, Personal Assistant, Project Coordinator or similar role
  • Excellent organisational and planning skills, with the ability to coordinate multiple priorities and work independently
  • Strong project coordination skills and the ability to keep actions, information and priorities moving forward
  • Exceptional written communication skills, including experience preparing reports, presentations and executive briefings
  • Strong Microsoft 365 skills, particularly Outlook, Word, Excel and PowerPoint
  • Confidence presenting information clearly and professionally
  • Excellent judgement and discretion, with the ability to manage confidential information appropriately
  • A proactive, people-centred approach and a commitment to providing outstanding internal service
  • The ability to remain calm under pressure while managing competing priorities
  • Curiosity and confidence to engage with digital tools, technology and modern ways of working
  • A full Irish driving licence with access to your own transport, with a willingness to travel to the Dublin Head Office and other locations around Ireland

It would be great if you also have:

  • An interest in continuous improvement and developing more efficient business practices
  • An interest in helping an organisation build capability in the use of emerging technologies and digital tools
