Join a charity bringing comfort and joy to children in hospital

Cian's Kennels is a registered charity dedicated to ensuring that hospitalised children can have their own dog — or a specially trained therapy dog — by their side for an extra dose of comfort, reassurance and happiness during their stay.

Our services include the safe transport of family and therapy dogs, arranging veterinary checks, and coordinating visits at Children's Health Ireland at Crumlin and Midland Regional Hospital Mullingar.

As we continue to grow, we are seeking an enthusiastic and highly organised Administration Manager to support our daily operations and help us deliver our services smoothly and compassionately in line with our core values.

About the Role

This is a varied and rewarding role at the heart of our organisation. You will play a key part in ensuring the charity runs efficiently while supporting our volunteers and stakeholders.

Key responsibilities include:

• Managing day-to-day administrative operations

• Coordinating volunteer onboarding, including reference checks and Garda Vetting

• Acting as the internal lead for GDPR compliance and Garda Vetting

• Maintaining audit-ready records for all volunteers and service users

• Processing and receipting donations, managing banking tasks

• Procuring goods and services

• Supporting publications and communications

• Liaising with volunteers regarding operational matters

• Building and maintaining strong relationships with relevant individuals and partner organisations

• Developing and managing the Charity's CRM system 

• Managing day-to-day accounts and preparing monthly financial reports and KPI's

• Gathering and presenting data required for grant fund reporting

Experience: 

• 3-5 years in a high-volume administrative or office management role

• Experience in the non-profit sector or a regulated environment is a significant advantage

 

Knowledge: 

• Strong understanding of Compliance, GDPR and the National Vetting Bureau (Children and Vulnerable Persons) Acts

 

Skills: 

• Advanced proficiency in CRM software and Cloud-based office suites (Google Workspace/Microsoft 365)

• Excellent communications, content creation, writing and social media skills 

 

Attributes: 

• Able to provide compassionate support to families in crisis while managing professional and governance requirements and standards

About You

We are looking for someone who is:

• Highly organised, with the ability to prioritise and multitask effectively

• Self-motivated and comfortable working on their own initiative

• Detail-oriented, with strong administrative accuracy

• A confident problem-solver who knows when to escalate issues appropriately

• Adaptable, flexible and collaborative, with the ability to motivate and support others

• In possession of a full driver's licence

 

Most importantly, you will be people-focused, proactive and passionate about supporting a meaningful cause.

 

Location, Hours & Flexibility

• This role is primarily remote, with regular in-person meetings required in Longford, Mullingar or Dublin

• Working hours are 9.00am to 5.30pm, Monday to Friday (flexibility required)
