 Debra Ireland is the national charity that supports people living with Epidermolysis Bullosa ('EB'), an incurable genetic condition that affects the skin. People with EB are missing the essential proteins that bind the skin's layers together, so any minor friction, movement or trauma can cause it to break, tear, and blister.

Debra is dedicated to transforming the lives of people living with EB, caring for someone with EB or bereaved by EB, through care, research and advocacy. We provide financial, emotional and practical support, fund pioneering research into better, more innovative treatments to enhance wellbeing and quality of life, create public awareness and provide information about the disease and advocate for investment in comprehensive and appropriate services and supports.

Office Manager and Executive Assistant to the CEO

Reporting To:

CEO and Head of Finance

Role Description:

The Office Manager and Executive Assistant plays a central operational role within Debra Ireland, ensuring the smooth day-to-day running of the organisation while providing high-level administrative and operational support to the CEO. This is a full time role, 37.5 hours per week.

Key Responsibilities:

Office & Facilities Management

·       First point of contact for general phone and email enquiries

·       Management of all facilities including office supplies, waste management, equipment maintenance, IT, insurance, courier and filing

·       Schedule meetings, organize meeting rooms, make travel arrangements

·       Maintain and review relevant policies and procedures

Health & Safety

·       Act as Health & Safety Officer

·       Maintain compliance, policies, and risk assessments

·       Manage Bright Safe system and staff health and safety training

Executive Assistant Support

·       CEO diary, meetings, papers and follow-ups

·       Confidential administrative and operational support, managing different projects as required

Finance, Fundraising and Administration

·       Accounts payable (processing invoices, staff expenses and payments)

·       Responsibility for bank lodgments and petty cash

·       Manage office credit card, reconcile company statements and prepare reports

·       Assist with post opening and backup for donation logging and acknowledgement

People & HR Administration

·       Onboard new joiners (organise equipment, stationery, onboarding checklist etc.)

·       Administer Garda Vetting processes and mandated training

·       Manage BrightHR platform and employee leave allocations

·       Organisation and planning of staff team building days

·       Any other duties that may be reasonably required

Qualifications, Skills and Experience:

·       Excellent communication and interpersonal skills

·       Excellent planning and organizational skills, exhibiting sound judgement with proven ability to manage multiple projects and prioritise time and resources

·       An ability to work under pressure and maintain meticulous attention to detail

·       Proven ability to work both independently and collaboratively

·       Warm, enthusiastic with a positive attitude

·       Flexible and adaptable

·       Strong IT skills, proficient in Microsoft suite (Outlook, Teams, Excel, PowerPoint, Word). Familiarity with Bright software and AIQ is desirable

·       Fluency in written and spoken English essential

·       Minimum two years' experience in a similar role

·       Candidates must be eligible to live and work in Ireland

·       Garda vetting and references checks are required for all roles.

Salary and Benefits:

·       Salary range €38,000 to €42,000

·       20 days annual leave with additional days offered at Christmas and Good Friday on a discretionary basis
