About Down Syndrome Ireland

Down Syndrome Ireland (DSI) is the national organisation providing support, services and advocacy for people with Down syndrome and their families across Ireland. With a National Office and 25 branches nationwide, DSI delivers education, therapy, employability and advocacy services, alongside fundraising and community engagement activities that are vital to our mission.

DSI is undertaking a major organisation-wide improvement programme to strengthen how we manage information, support our staff, improve governance and better demonstrate the impact of our work.

Role Purpose

Down Syndrome Ireland is replacing its current CRM system and moving towards a single, secure and reliable data system that will support fundraising, finance, services, membership and impact reporting across the organisation.

The Data & CRM Manager will lead this work from an operational perspective. This is a hands-on role that combines:

  • Managing the design and implementation of a new CRM and data management system
  • Taking responsibility for data quality, data governance and day-to-day system management once the system is live

The role will work closely with colleagues across fundraising, finance, education services, therapies, employability and branches, as well as with external system suppliers. The focus is on delivering a practical, well-governed solution that supports staff in their day-to-day work and meets DSI's obligations around data protection, reporting and accountability.

Key Responsibilities

CRM & Data System Implementation

  • Manage the implementation of DSI's new CRM and data management system, working with external suppliers and internal stakeholders.
  • Support the translation of business requirements into a system that works for DSI's fundraising, finance and services teams.
  • Assist with system configuration, testing and phased rollout.
  • Manage data migration from existing systems (including Champ and Excel), ensuring data is cleaned, de-duplicated and validated.
  • Support User Acceptance Testing (UAT) and go-live activities.
  • Help ensure the system is practical, user-friendly and fit for purpose.

Data Management, Governance & Compliance

  • Take day-to-day responsibility for data quality and consistency across the CRM.
  • Help develop and maintain data governance processes, including data standards and documentation.
  • Ensure all personal and sensitive data is handled in line with GDPR and data protection requirements, including special category data used by services.
  • Support responses to Data Subject Access Requests (DSARs) and other compliance needs.
  • Maintain clear records of data processes and permissions.

CRM Administration & Ongoing System Support

  • Act as the main internal point of contact for the CRM system.
  • Manage user access, roles and permissions in line with DSI policies.
  • Liaise with system suppliers to resolve issues, request improvements and manage updates.
  • Support integrations with finance systems, fundraising platforms, email tools and website forms.
  • Provide practical support to staff using the system and help resolve day-to-day queries.

Reporting & Organisational Insight

  • Produce regular reports to support fundraising, finance, services and management needs.
  • Support impact reporting by helping teams capture and report on service activity and outcomes.
  • Ensure reporting is accurate, timely and appropriate to different user roles.
  • Assist senior management with information needed for planning, governance and funder reporting.

Working with People & Supporting Change

  • Work closely with staff across the organisation to understand how data is used in practice.
  • Support staff through changes to systems and ways of working.
  • Help develop simple guidance, training materials and good practice for using the CRM.
  • Encourage consistent data entry and a positive, supportive approach to data management.

Essential Skills & Experience

  • Experience working with CRM systems or organisational databases, including configuration or administration.
  • Experience supporting or coordinating a system implementation or data migration project.
  • Strong attention to detail and commitment to data quality.
  • Good understanding of GDPR and data protection principles.
  • Ability to explain technical or data-related issues clearly to non-technical colleagues.
  • Organised and reliable, with the ability to manage priorities and work across multiple teams.
  • Comfortable working in a hands-on role within a small to medium-sized organisation.

Desirable Skills & Experience

  • Experience working in the charity, non-profit, health or membership sector.
  • Experience supporting fundraising, finance or service-delivery systems.
  • Basic experience with reporting tools, data analysis or SQL.
  • Have undertaken project management training (formal certification not essential).
  • Experience working with external suppliers or IT partners.

What We Offer

  • The opportunity to play a key role in a national charity making a real difference to people with Down syndrome and their families.
  • A two-year fixed-term contract, with the possibility of extension.
  • Salary in the range of €50,000 – €60,000, depending on experience.
  • Flexible and hybrid working arrangements.
  • A supportive, mission-driven working environment.
  • The opportunity to build valuable experience in data, systems and organisational improvement within the non-profit sector.
