We are looking to hire a Programme Administrator to join our team.

 

  • Locations: Santry, Dublin
  • Contract Type: Full-time, permanent position, subject to successful completion of probationary period
  • Hours: 35 Hours per week (Monday to Friday, 9 am to 5 pm), office-based
  • Annual Leave: 22 days per annum, after 2 years of service, this will increase by 1 day per annum up to a maximum of 27 days annual leave per year
  • Salary: €33,500 per annum

 

About Diabetes Ireland

Diabetes Ireland is the only national charity in Ireland dedicated to helping people with diabetes. We achieve this by providing support, education, and motivation to everyone affected by diabetes. We also raise public awareness of diabetes and its symptoms, advocate for better diabetes services and care, and support research related to the causes, prevention, management, and cure of diabetes.

 

 

The Role

Due to an expansion of services, Diabetes Ireland is seeking a Programme Administrator to provide essential administrative, communication, and client-support services to ensure the smooth and effective delivery of Diabetes Ireland's care, education, and membership programmes.

 

By managing enquiries, scheduling appointments, maintaining databases, and supporting events, the role helps ensure a positive and well-coordinated experience for all.

 

 

Key Responsibilities

Helpline & Communication Support

Careline Calls

  • Effectively deal with careline calls at the first point of contact using the standard diabetes glossary.
  • Assess and direct complex queries to other staff members as appropriate.

 

Business Calls

  • Handle all general business calls professionally and refer to relevant staff members as required.

 

Care Centre Calls

  • Schedule client appointments and update the Care Centre appointments system to ensure maximum efficiency.

 

Written & Email Enquiries

  • Respond to all written and email enquiries promptly and appropriately.

 

Database Support

  • Support the maintenance, updating and development of the various databases as required.

 

Education Programme Administration

  • Coordinate & provide administrative support for the delivery of Diabetes Ireland's various education programmes by;
  • Managing with the organisation, scheduling and administration of our Type 2 Diabetes Structured Education Programme (CODE)
  • Managing with the organisation, scheduling and administration of our Diabetes & Mental Health & Wellbeing Programme(s):

 

Membership Programme

  • Work as part of the membership team to promote our Community Network Programmes and the benefits of the various programmes.
  • Update the membership database as required.

 

General Administration

  • Provide administrative and operational support for Diabetes Ireland events, including children's and family events, education sessions, and public meetings.
  • Liaise with and support local volunteer groups when required.
  • Disseminate Diabetes Ireland literature to healthcare outlets and individuals.
  • Schedule Care Centre podiatry appointments and provide reception cover should the need arise.
  • Undertake day-to-day office duties as required.
  • Participate in relevant training courses to maintain and enhance role competencies.
  • Attend online and in-person education meetings and events as required.
  • Provide administrative support to the CEO in all aspects of business as required.

 

Key Skills & Attributes

This role requires someone who can show ability in a range of areas, including:

  • Strong communication skills (phone, email, written).
  • Excellent organisational and scheduling abilities.
  • Ability to manage multiple tasks in a busy environment.
  • Strong attention to detail and accuracy.
  • Competent IT skills, including use of databases (Salesforce experience is an advantage).
  • Professional, courteous, and empathetic manner when dealing with clients and healthcare professionals.

 

Desirable Skills

  • Experience working in a healthcare, social care, or non-profit environment.
  • Knowledge of diabetes or willingness to learn.
